Bids Coordinator

A premier Quantity Surveying and Asset Management Advisory firm is seeking a Bids Coordinator for their Melbourne CBD office.

Reporting to the Bids Manager, this role will play a pivotal role in the bid process for high-value Property and Infrastructure projects in Victoria.
This position is integral to the coordination and management of the bid lifecycle, from preparation through submission to post-bid activities.


Key Responsibilities:
  • Bids Coordination: Manage the entire bid process, ensuring all documents are prepared accurately and submitted on time. Maintain compliance with all relevant requirements and deadlines.
  • Collaboration: Work closely with the business development team, project managers, and bid manager to collate all necessary documentation and information. Ensure seamless communication and cooperation across departments.
  • Bid Tracking: Develop and maintain a comprehensive system to track and manage bid submissions, enhancing the organization's ability to monitor progress and outcomes effectively.
  • Communication: Facilitate strong communication channels both internally and with external partners to support the creation of high-quality, competitive bids.
  • Proposal Preparation: Assist in crafting compelling proposal content and presentations that effectively communicate the organization's value proposition and capabilities to prospective clients.
Required Skills and Qualifications:
  • Organizational Skills: Exceptional ability to organize, multitask, and manage time effectively. High attention to detail with a commitment to deadlines.
  • Technical Proficiency: Skilled in Canva and proficient with Microsoft Office Suite.
  • Communication Skills: Excellent verbal and written communication abilities. Must be able to work collaboratively across various levels of the organization and with multiple departments.
  • Experience: Previous experience in a similar role within an engineering, construction, or professional services firm is highly desirable.
